Convert goals with past status updates to a different frequency
How to Change Status Frequency
You can easily change the status frequency of a goal, whether you've been tracking it weekly for years or just set it up with the wrong default frequency. Here's how:
Changing Frequency if No Status Data is Recorded:
If no status colors or Projected/Actual/Variance values have been recorded for the goal, you can update the frequency by:
- Editing the goal and selecting the new frequency in the pop-up, or
- Using the "Change Status Frequency" option in the Goal detail screen's More Actions menu.
Note: If the goal is part of a roll-up calculation, some frequency options might be unavailable. A child goal cannot have a lower frequency than its parent goal.
Changing Frequency with Status Data:
If the goal has recorded status colors or Projected/Actual/Variance values (even if the updates were deleted), only an Admin can change the frequency to prevent data loss. When you click "Change Status Frequency," a list of Admins will appear, or you can contact Support at Help@RhythmSystems.com.
Important Information for Admins
WARNING: For goals with multiple quarters of data, contact our Support Team at Help@RhythmSystems.com before making changes. We can test the conversion to ensure your data is correct.
To ensure past status updates are converted correctly, please ensure you've got the right Projected/Actual/Variance Timeframe setting:
- Cumulative (Total Quarter to Date): Use this if updates record the QTD value each time. Converting from weekly to monthly will pull the status from the last week of each month.
- Distinct (Single Status Period): Use this if updates reflect only the specific week or month. Converting from weekly to monthly will sum the values for each week in the month.
Once the frequency is changed, previous updates will be restored if you switch back. However, if you change settings again after reconverting, the data will not reconvert. That's why it's critical to choose the correct settings.
Tip: Always review the "Hint Notes" before saving changes, as they explain how your settings will affect the data.
